1. Who is responsible for your data?
Zokko is operated by Fairless Finds Ltd. For organiser accounts, website use, support, product feedback and marketing choices, Fairless Finds Ltd is the data controller.
You can contact us at hello@zokko.co.uk.
2. What information we collect
Depending on how you use Zokko, we may process:
- Account details — name, email address, login credentials and organiser profile information.
- Tournament information — event name, venue, fixtures, scores, teams, competition groups, pitch information, announcements and other event settings.
- Operational contacts — names, email addresses, mobile numbers and availability details for team contacts, referees or tournament helpers where an organiser chooses to enter them.
- Matchday information — results, cards, Player of the Match names where enabled, match notes and operational reports.
- Payment information — tournament entry-fee amounts, payment/refund status, payer email where supplied to Stripe, and Stripe transaction references. Zokko does not receive or store full card numbers or organiser bank-account details.
- Feedback and support — messages you send through the feedback tool or by email, including a reply-to email if supplied.
- Technical information — basic browser, device, security and service logs needed to operate and protect Zokko.
- Analytics information — where you accept optional analytics, information about how pages and features are used.
We do not ask organisers to use Zokko to store medical records, safeguarding records, identity documents or other highly sensitive information. Please do not put that type of information into free-text notes.
3. How and why we use information
- Provide the Zokko service. To create accounts, save tournaments, publish Tournament View and operate the tools requested by organisers. We generally rely on performance of our agreement with you or steps taken at your request.
- Keep Zokko secure and reliable. To prevent misuse, investigate errors and maintain service integrity. We rely on our legitimate interests in running a secure service.
- Support and improve the beta. To respond to questions, review feedback and understand where the product needs work. We rely on our legitimate interests in improving Zokko.
- Optional product updates. If you actively opt in, we may send occasional Zokko news or organiser tips. You can withdraw that choice at any time.
- Optional analytics. We use analytics only where the required consent has been given.
- Legal obligations. We may process information where necessary to comply with applicable law or protect legal rights.
4. Tournament data and information about other people
Organisers may enter information about people who do not have a Zokko account, for example a coach's email address or a referee's mobile number. The organiser is responsible for making sure they have a valid reason to use those details and for telling those people how their information is being used where required.
Private operational links — including team registration, referee confirmation, Pitch View and Tournament Crew links — should only be shared with the people who need them. Tournament View is intended to be the public-facing link.
7. How long we keep information
We keep personal information only for as long as it is reasonably needed for the purpose it was collected for.
- Organiser account and tournament data is normally kept while the account or tournament remains in use, unless deletion is requested or a longer period is required for legal reasons.
- Feedback and support messages may be retained while they remain useful for resolving issues and improving the beta, then deleted or anonymised.
- Security and service logs are retained for limited operational periods determined by the relevant service and our security needs.
- Analytics information follows our configured analytics-retention settings and is reviewed so it is not kept longer than necessary.
When an account is deleted, some limited data may remain temporarily in secure backups before those backups cycle out.
8. Your privacy rights
Depending on the circumstances, UK data-protection law may give you rights to ask for access to your personal information, correction, deletion, restriction, objection, portability, or withdrawal of consent.
If your request relates to information entered into Zokko by a tournament organiser about their event, we may need to direct the request to that organiser because they control how that tournament information is used.
To make a request, email hello@zokko.co.uk. We may need enough information to verify the request before acting on it.
9. Security
We use reasonable technical and organisational measures designed to protect information, including authenticated organiser accounts, owner-scoped database access and private operational links. No internet service can promise absolute security, so organisers should also keep account passwords and private links secure.
10. Questions or complaints
For privacy questions, requests or concerns, contact hello@zokko.co.uk.
If you are unhappy with how a privacy matter is handled, you also have the right to complain to the UK Information Commissioner's Office (ICO).
We may update this notice as Zokko changes. If a change materially affects how personal information is used, we will take reasonable steps to make that clear.
